Car Parking Shade Submittals and Approval Checklist

A practical briefing for facilities, procurement and project teams planning shade work in Saudi Arabia.

A parking shade submittal should give the client, consultant and contractor one controlled set of information to review before fabrication. It connects the accepted commercial scope to the proposed layout, covering material, steel finish, interfaces and current drawing revision.

The exact approval process depends on the contract and project team. This checklist gives facilities, procurement and project managers in Saudi Arabia a practical way to organise the review without treating a generic document as project approval.

Start with a submittal register

List every item expected for review, the responsible party, planned submission date, current revision, response status and any linked document. Typical entries may include the parking layout, shade drawings, covering-product information, colour selection, steel-finish information and samples where the project asks for them.

Use the terminology in the contract. If the client or consultant has a document-control procedure, transmittal format or status codes, follow that system. A simple register is useful only when it matches the documents actually issued.

Keep the commercial scope beside the technical submission

The approved quotation or purchase order should identify what the contractor is supplying and what remains with the client or other contractors. Check the number of bays or covered area, shade type, covering, steel finish, civil works, excavation, reinstatement, access restrictions and any stated exclusions.

Do not let a drawing silently add or remove scope. If a technical comment changes quantity, material, finish, programme or another commercial term, record the change and obtain the required written agreement. Our guide to comparing parking shade quotations explains how to make those assumptions visible.

Submit the current parking layout and shade drawings

The package should identify the project, site, drawing title, revision and date. The drawings should show enough information for the intended review, including the covered rows, support arrangement, relevant dimensions, clearances and the relationship to kerbs, aisles, pedestrian routes and nearby features.

Only current documents should remain in the active review set. Superseded drawings should be clearly separated so that workshop and site teams do not work from an earlier revision. Use the parking shade drawing review checklist for a more detailed drawing check.

Provide material information that matches the offer

The covering submittal should identify the proposed material and manufacturer or product reference when one has been selected. Include the relevant manufacturer information requested by the project and distinguish between general product literature and evidence for the exact proposed product.

Do not transfer a performance statement, warranty or test result from one product to another. HDPE, coated polyester membranes and rigid roofing systems have different characteristics, so the wording in the submission should match the selected system. The parking shade fabric guide outlines the questions to check.

Confirm colour and steel finish

Record the selected covering colour and steel colour using the project’s agreed reference method. Digital screen colours can vary, so a physical sample may be appropriate when colour matching is important and the project requires one.

For the steelwork, state the proposed finish, colour and any project-specific preparation or coating requirements shown in the accepted scope. Avoid vague labels that do not identify the complete finish. Review the steel finish guide before finalising the submission.

Define civil and site interfaces

The review package should state who is responsible for excavation, foundations, service checks, disposal, concrete, paving removal and reinstatement. It should also show which site information has been verified and which items still need confirmation.

Existing utilities, boundaries, drainage, lighting, cameras, signs and operating routes can affect the final layout. Umbrella Tent & Shades does not provide electrical, lighting, CCTV or related services. Those works require separate qualified contractors, although their locations may need coordination with the shade layout.

Consolidate comments by revision

Ask reviewers to return coordinated comments against a named document and revision. The contractor should respond to each comment, issue the updated revision and explain any item that was not incorporated. Verbal discussions can help resolve a point, but the agreed result should appear in the controlled record.

Avoid combining comments from different revisions without confirming which set governs. If a later client instruction changes an approved item, record the instruction, affected documents and any impact before proceeding.

Set a clear fabrication release point

The project team should define which written status allows fabrication to begin. A submission made for review is not the same as an approved fabrication release. Conditional comments should be closed or incorporated as required by the project procedure before materials or workshop work are committed.

Approval does not remove the contractor’s responsibility for its agreed scope, nor does it confirm information outside the reviewer’s responsibility. The parties should understand what has been reviewed and what remains subject to site verification or another specialist.

Recheck the site before committing to fabrication

Compare the latest approved information with current site conditions, especially where the parking layout, kerbs, services or adjacent works may have changed. Critical dimensions and interfaces should be confirmed at the stage required by the project.

The site survey and measurement checklist helps separate verified measurements from assumptions. Any conflict should be raised before fabrication rather than adjusted informally during installation.

Keep an approval record for handover

Retain the final approved documents, comment responses, agreed material information, colour records and authorised changes. At completion, provide the records required by the contract and make sure the handover set reflects what was installed.

The record does not need unnecessary paperwork. It does need a clear route from the accepted scope to the approved information and the completed work.

Questions project teams ask

Can parking shade fabrication start when documents are submitted?

Submission alone does not confirm approval. Fabrication should start only when the required written status has been received and any conditions that affect the work have been addressed under the project procedure.

Who approves parking shade materials?

The responsible reviewer is defined by the contract or client procedure. It may involve the client, consultant or another authorised party. The contractor should not assume an approval route that has not been stated.

Does approval transfer responsibility to the reviewer?

Not automatically. Approval normally confirms a defined review within the reviewer’s role. Each party remains responsible for the obligations assigned to it by the contract and applicable project requirements.

What happens if the parking layout changes after approval?

Record the change, review its effect on the shade layout and scope, update the affected documents and obtain the required written approval before proceeding with the changed work.
